Purchasing Assistant

PURPOSE and SCOPE

Reporting to the Manager of Supply Chain, the Purchasing Assistant is responsible for the timely creation of PO's and order releases to Suppliers from submitted requisitions.  Helps support PO creation for other functional areas on an as required basis. Provides administrative support for the Supply chain team and orders, tracks and manages required office supplies and staples. Supports internal events with coordination of meeting room bookings and set-ups, as well as participation as note taker for certain events. Manages the janitorial / PPE supply flow for the organization. Set's up all Vendor accounts in the Address Book in MRP and maintains the payment terms/address/contact info records for the organization. Links vendors to PowerBi - Parent Suppliers application for Linamar and updates the Supplier matrix. Supports cost savings objectives by identifying and implementing reductions as applicable.

JOB RESPONSIBILITIES

  • Diligently processes Requisitions to ensure purchase orders are sent in a timely manner to maintain on-time delivery to Internal MacDon (Non-production or Parts) customers.
  • Maintains supplier acknowledgements and confirms supply.
  • Highlights and elevates any supply risks to Procurement Specialist or Supply Chain Manager.
  • Administers returns for rework, replacement or credit.
  • Sets up and maintains vendor files in JDE (MRP system).
  • Updates reports and PowerBi Applications as needed. (Training provided)
  • Orders and maintains lunch room supplies and provide coffee and water service for boardroom meetings upon request.
  • Supports cost saving initiatives through tracking and identification of opportunities.
  • Meets and greets incoming suppliers and maintains sign in book and security badges as required.
  • Books travel arrangements for the Supply chain team.
  • Answers and directs incoming phone calls as required.
  • Other duties as assigned by the Manager.

QUALIFICATIONS

Academic/Educational Requirements

  • Relevant post-secondary education.

Required Skills/Experience

  • Two years’ administration experience essential.
  • Manufacturing and/or Procurement experience advantageous.
  • Working knowledge of MRP advantageous.
  • Word, Excel and Outlook knowledge essential.
  • Excellent verbal and written communication skills.
